Job Summary/Basic Function EMPLOYMENT CONDITIONS: PSRP Range 40 ($18.97 per hour). Position is covered by the provisions of a collective bargaining agreement, including a fair share clause. Health and dental benefits are provided and other benefits according to specified eligibility requirements. The employee selected will serve a 12-month probationary period. Salary: Range 40 ($18.97) Location: Truax Hours: Monday-Thursday: 9:00 am - 5:30 pm and Friday: 8:00 am - 4:30 pm. Flexible as needed with evening and weekend hours required. However, schedule is subject to change by the supervisor. This is a full-time, 38 3/4 hours per week, 52 weeks per year position. Applications are due by Tuesday, September 7, 2010. ORGANIZATIONAL FUNCTION AND RESPONSIBILITIES: This is a responsible student contact and clerical position involving tasks that range from routine to complex that are well documented and outlined in the Enrollment Center. This employee works independently the majority of the time. Supervision received involves the final review of work, ascertaining that schedules and production of work meet supervisor's standards. Enrollment facilitator employees independently communicate standardized unit and district policy with discretion. Unusual work problems which fall outside standard policy and procedures are referred to the appropriate supervisor or lead worker. The position will adjust services to meet peak demands. This position reports to an Enrollment Center Administrator. ORGANIZATIONAL FUNCTION AND RESPONSIBILITIES: Knowledge, Abilities, and Skills 1. Knowledge of modern office practice, grammar, spelling, punctuation and proper English usage. 2. Ability to operate basic office machines including, but not limited to the following: a. Keyboarding skills b. Networked personal computers c. Photocopiers and printers d. Microfiche readers e. Facsimile machines f. Calculators g. Lap Top Computer 3. Ability to reconcile data derived from different sources or documents. 4. Ability to coordinate own work with that of others, to review the work of others and maintain appropriate quality standards for assigned units of work. 5. Ability to type/keyboard at 50 net words per minute. 6. Skill in dealing courteously and tactfully with students and the public. 7. Skill in establishing and maintaining effective working relationships. 8. Demonstrated skill in communications and human relations with populations of diverse socio-economic and cultural backgrounds and persons with disabilities. Qualifications: (Education, Experience) 1. One year post-secondary education from an accredited institution*, training, or the following equivalent: One year (2000 hours) of responsible office clerical work experience directly related to the skills required. Experience used as the equivalent of an educational requirement is in addition to any other experience required by the position. 2. One year (2000 hours) responsible office clerical work experience directly related to the skills required. 3. Ability to type at least 50 net words per minute. * a public or private educational system accredited by a nationally recognized agency or association, or by the U.S. Department of Education. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. 1. Assesses students' needs and advises currently enrolled, new, and potential students concerning an integrated enrollment process using knowledge of financial aid, assessment, admissions, orientation, registration and records. Will access information using resources such as AskMATC, website, written procedures/processes and scripts. Makes recommendations of changes/additions/enhancements of AskMATC, website and other areas to better support our students. 2. Performs processing duties related to enrollment services for admissions, financial aid, records and registration. This may include, but is not exclusive to: admissions applications, financial aid documentation and processes, grades, transcripts and test scores, enrollment verifications, contact information/demographic updates, contract and enrichment registrations, diplomas, advance reservation fees, and other duties as assigned. 3. Responds to questions and requests from other units; determines referral points of service within Student Services, across the college and to external agencies. 4. Responds to in-person, telephone, and written inquiries from individuals regarding their enrollment status. 5. Provides direct assistance in helping students to understand the appropriate forms and procedures. 6. Maintains alpha and numeric filing systems, utilizing both paper and electronic systems. 7. Prepares forms, memoranda, and correspondence. 8. Collects, assembles and organizes materials and data for reports. 9. Composes letters and other correspondence for own or supervisor's signature. 10. Receives and releases confidential and sensitive records in compliance with regulatory standards. 11. Records and prepares minutes of meetings. 12. Performs routine to complex clerical tasks including, but not limited to: a. Responding to telephone requests and inquiries. b. Relieving others for breaks and other absences as assigned. c. Preparing requisitions and receiving goods and services. d. Providing information to student/visitors e. Provides input in preparation of unit and/or budget materials. g. Processing incoming and outgoing mail, including electronic mail. h. Maintaining appointment and meeting schedules, obtaining meeting rooms when necessary. 13. Becomes familiar with all functions and operations of the unit and is able to provide back-up support. 14. Works with new staff to share information and practices related to job duties. 15. Working with scripts, may test functionality of system during upgrades. 16. Communicates established district policy as needed. 17. Provides information and facilitates enrollment process at recruitment events/activities. 18. Performs other duties as assigned by the President or designee.
